Our client in provincial government is seeking a Events Coordinator to join their team for a 6 month contract. This is a fully onsite role, located north of Downtown Toronto.

Key Responsibilities:

  • Event Leadership: Plan, coordinate, and deliver events, including the Regional Training Event, Visitor’s Program, Media Tour, CEO field visits, and post-event Staff Appreciation activities. Develop detailed itineraries and accurate expenditure estimates.
  • Resource Management: Oversee procurement of event resources, including venues, catering, accommodations, transportation, audio-visual equipment, and other logistics.
  • Stakeholder Communication: Serve as a primary point of contact for election management bodies
  • Documentation & Presentation: Develop professional materials such as presentation decks, speaking notes, and other documents for Managers
  • Protocol Coordination: Work with Executive Office to manage protocol requirements for hosting domestic and international representatives.

  • Expense Management: Review expense claims for accuracy, ensuring compliance with policies.
  • Health & Safety Compliance: Design and execute events that adhere to the Occupational Health and Safety Act

Qualifications and Skills:

  • Event Management Experience: A minimum of 2 years of demonstrated experience in planning, coordinating, and executing events for external stakeholder groups.
  • Vendor Relations: Proven ability to build and maintain relationships with third-party contract vendors.
  • Communication Expertise: Strong oral and written communication skills with a customer-service orientation. Experience in creating communication materials for external stakeholders.
  • Organizational Skills: Exceptional attention to detail, strong analytical skills, and the ability to manage multiple priorities independently.
  • Technical Proficiency: Advanced skills in MS Office, including Outlook, Word, Excel, and PowerPoint.
  • Bilingualism: Proficiency in both English and French is an asset.
